The problem

Your marketing calendar lives in three spreadsheets and one person's head.

Digital campaigns in one tool. Email sends in another. Direct mail in a third. Media buys in a shared Drive spreadsheet someone updates when they remember. When you ask "what's scheduled next Tuesday?" the honest answer is "let me check four places." Axion's calendar is the one place every scheduled thing shows up, with creative, owner, status, and cost attached.

One calendar

Every scheduled thing. Every rooftop. One view.

Month, week, or list — the calendar shows every digital campaign launch, email send, direct-mail drop, specials window, TV and radio flight, print placement, and OOH board across every rooftop. Color-coded by channel. Filterable by rooftop, owner, campaign, or budget line. Drag an event to reschedule — Axion updates the underlying platform, the budget, and the invoice forecast.

  • Views: month, week, list — filterable by rooftop, channel, owner, or campaign
  • Drag-to-reschedule updates the source platform (Google, Meta, email, mail vendor)
  • Event statuses: scheduled, in-progress, completed, cancelled
  • Multi-day flights (TV/radio/OOH windows) render with proper span
  • Recurring campaigns and seasonal rotations built in

Creative on the timeline

See what ships, before it ships.

Every scheduled event on the calendar links to its creative — the postcard PDF, the email render, the ad image, the :30 radio spot, the TV spot video. One click to preview any asset in context, approve or request edits, and see which audience and rooftop it's pointed at. Monday-morning "wait, what's actually going out this week?" becomes a 30-second scan.

  • Thumbnail previews on calendar events — no separate asset manager to open
  • Full preview in context: audience, rooftop, channel, scheduled time
  • Approval workflow wired in — approve or request edits without leaving the calendar
  • Asset version history — see what changed between drafts
  • Download packets for owner review: weekly PDF of every creative scheduled

Capabilities

Everything the calendar should do — and the stuff operators wish it did.

Unified scheduling

Digital ads, email, direct mail, specials, broadcast, print, OOH — all on one grid with color-coded channels and rooftop filters.

Creative previews inline

Click any event for the actual asset that ships. Video, image, PDF, email render. Approve, comment, or request edits in the same view.

Media buy planning

Add TV, radio, print, OOH, and sponsorship buys with vendor, flight dates, spot count, rate, and targeting. Axion derives cost and reserves budget.

Invoice reconciliation

Upload a media-buy invoice — Axion parses, matches against scheduled flights, and posts variance to the budget module. Missed spots trigger make-good alerts.

Run-date alerts

Every scheduled item has an owner and an alert cadence. "Creative not approved T-48h?" "Invoice missing T-5d post-run?" — nobody has to remember.

Budget-linked

Scheduling an event reserves budget on the line it's tied to. The budget module shows planned, committed, and reconciled — not just spent.

Role-based views

GMs see their rooftop. Marketing directors see the whole group. Same calendar, different filters.

Bulk ops

Duplicate a month for next month. Shift all media spots by N days. Clone a rooftop's schedule to a new acquisition. No per-event re-entry.

Audit trail

Every event change — reschedule, reassign, creative swap, invoice posted — logged with who/when. For OEM co-op audits and month-end reviews.

Media buys + reconciliation

Log the spot. Upload the invoice. Variance posts itself.

Media buys get added the way broadcast schedulers actually plan them: vendor, daypart, flight window, spot count, unit rate. When the invoice arrives (PDF, email, API depending on vendor), Axion parses it, matches against what was scheduled to run, flags any missing spots or rate discrepancies as make-goods, and posts the reconciled cost to the budget module. The "did we get what we paid for?" question closes itself.

  • Vendor library with pre-set rate sheets for local TV, radio, print, OOH partners
  • Invoice parsing: PDF OCR, email extraction, or API pull — flexible options to prevent manual entry
  • Auto-match scheduled flights to billed spots; flag make-goods and rate drift
  • Reconciled cost posts to budget with full audit trail (scheduled → aired → invoiced)
  • Monthly reconciliation report for each vendor — exec-ready, OEM-compliant

How it works

From "where are we on this campaign?" to "it's on the calendar."

  1. 01

    Connect your active channels

Google Ads and Meta via OAuth; email platform; direct-mail vendor. Calendar pre-populates with every scheduled send, drop, and launch.

  2. 02

    Add your media buys

Vendor, flight window, spot count, rate. Pre-built rate cards for common local-broadcast and print partners. Axion reserves budget and slots it on the calendar.

  3. 03

    Attach creative

Drag a file onto any event, or link to an asset library. Approval flow fires with owner notified. Creative preview shows inline on the calendar.

  4. 04

    Run the month

Owners get alerts at creative-approval, pre-launch, mid-flight, and reconciliation. Nothing runs without an owner signed-off. Nothing aires without a reconciliation plan.

  5. 05

    Reconcile invoices as they arrive

Upload the PDF or forward the email — Axion parses, matches, flags make-goods, and posts reconciled cost to the budget. Exception-based review, not line-by-line.

  6. 06

    Review and clone forward

End-of-month summary writes itself: what ran, what didn't, where variance lived. Clone the month forward as a template, tweak dates, launch.

FAQ

Frequently asked questions

Which channels show up on the calendar automatically?
Google Ads and Meta campaign launches, email sends, drip triggers, specials windows, and direct-mail drops all populate automatically from the connected platforms. Broadcast, print, OOH, and sponsorship buys are added manually (or via vendor API where available).
Can I schedule a media buy and have it reserve budget?
Yes. When you log a media buy with vendor, rate, and flight window, Axion calculates the total cost and reserves it against the linked budget line. The budget module shows planned (not-yet-scheduled), committed (scheduled), and reconciled (invoiced) — three distinct states so you always know your true exposure.
How does invoice reconciliation work?
Three paths: upload the invoice PDF (OCR + parsing), forward a vendor email (inbox import), or pull via vendor API. Axion matches line items to scheduled spots, flags discrepancies as make-goods or rate drift, and posts the reconciled cost to the budget. You review exceptions, not every line.
Can I preview the actual creative on calendar events?
Yes. Click any event for the full asset — email HTML render, ad image or video, direct-mail PDF, radio script, TV spot. Approval status, audience targeting, and linked rooftops show alongside. One place for "what does that look like?"
Does the calendar support recurring campaigns?
Yes. Recurring patterns (weekly, monthly, seasonal) with auto-refresh of creative, dates, and rates. Combines well with Specials Automation — when specials auto-renew, the calendar updates automatically.
How do permissions work across dealer groups?
Role-based filtering on the same calendar: rooftop GM sees their store, regional director sees their region, group marketing director sees everything, OEM field rep sees only co-op-eligible activity. Edit permissions follow the same hierarchy.
